In the initiation phase, the project goal or need is identified; this can be a business problem or an opportunity. An appropriate response to the needs is documented in a business case with recommended solution options. A feasibility study will examine whether each option corresponds to the project objective and a final solution recommendation will be worked out.

In the planning phase, the project solution is developed further in as much detail as possible and the necessary steps to achieve the project goals are planned. This is also known as "Scope Management". A project plan is created describing the activities, tasks, dependencies and timeframe. The project manager coordinates the preparation of a project budget by preparing cost estimates for personnel, material and material costs. The budget is used to monitor and control costs during project implementation.

Risk management identifies "highly dangerous" potential problems together with the measures to be taken for each highly dangerous potential problem, either to reduce the likelihood that the problem will occur or to reduce the impact on the project when it occurs.

In the implementation phase, the project plan is set in motion and the project work is carried out. It is important to maintain control during implementation and communicate as needed. Progress is continuously monitored and appropriate adjustments are made and recorded as deviations from the original planning. During the project implementation, the tasks are carried out by the employees and informed about the progress in regular team meetings. Status reports should always highlight the expected endpoint in terms of cost, schedule and quality of results.

The test phase accompanies the implementation phase, since test cases can already be defined at the beginning of the implementation. At various times before, during and after implementation, various testing activities are carried out to ensure the quality of the development and enable the finished product to be handed over.

In the final or completion phase, the focus is on releasing the final results to the customer, handing over the project documentation to the company, terminating supplier contracts, releasing project resources and communicating the project completion to all parties involved. The last remaining step is to conduct lessons learned studies to investigate what went well and what did not. This type of analysis returns the knowledge gained from experience to the project organization, which will help future project teams.
